How Much Does a POS System Cost?

Author

There is no single answer to what a POS system costs, and any provider who gives you one is probably quoting you a fraction. The monthly fee is usually the smallest part of the bill. Hardware, installation, integrations and card processing make up the rest, and the last of those scales with every cover you serve.

That is the real problem with POS system cost. The figure on the proposal rarely matches what you pay over the full contract, and the difference comes straight out of your margin. A low upfront price often reappears as higher processing rates, per-device charges, paid integrations, or weak support when something breaks.

This guide covers the whole bill, what belongs in a POS quote, what UK operators tend to miss and how to compare two proposals on equal terms.

The six parts of a POS bill

Software is the figure everyone compares. It is usually charged monthly or annually by location or terminal, although the contents of the subscription vary. Reporting, online ordering, loyalty, inventory, and scheduling may be included or sold separately.

Hardware depends on how your team works. A single-till café and a two-floor restaurant with patio service need different equipment. Include terminals, handhelds, kitchen displays, guest screens, card readers, printers, cash drawers, and networking. Before signing, confirm who owns it at the end of the term and what happens when a device fails mid-service. Toast’s restaurant hardware range shows how different configurations can change the first-year cost.

Payment processing rises with your sales and is commonly charged as a percentage of each transaction plus a fixed fee. It needs a closer look, which comes next.

Implementation and training can be easy to miss on a comparison sheet. Cabling, menu setup, tax settings, data migration, and paid staff training time are all real costs. Ask each provider to state what implementation includes and what will cost extra.

Add-ons and integrations can turn a low base price into a much larger monthly bill. Each separate product brings another fee, login, and reconciliation task. The time spent managing that stack is a labour cost, even if it never appears that way in the accounts.

Support is the line operators only price correctly after the first serious failure. Our Voice of the UK Restaurant Industry 2025 report listed replacing and maintaining hardware among the sector's leading technology challenges, and the expensive part is rarely the fee. It is the response window. A provider offering only weekday business-hours support may leave gaps during your busiest services. Confirm who you can reach at 9pm on a Saturday, and whether that person can resolve a terminal fault or only record it.

What card processing costs in the UK

Card-processing rates vary by provider, card type, transaction channel, sales volume and pricing model. Apply every quoted percentage and fixed charge to your own annual card sales and transaction count. A one-percentage-point difference on £1.2 million in annual card sales is £12,000 before fixed fees and other charges, which makes processing one of the most important costs to model carefully.

Working out whether your rate is fair is genuinely difficult. The Payment Systems Regulator's market review of card scheme and processing fees concluded that Mastercard and Visa do not face effective competition, that fees have been rising, and that there is a lack of clarity over how much businesses will have to pay to accept card payments. The regulator has since issued directions covering information and transparency and pricing governance, with the FCA expected to take on the monitoring role as the PSR's functions are consolidated.

This does not tell you whether your own rate is competitive. Ask each provider for a complete schedule of percentage rates, fixed charges and exceptions, then review it with your accountant or payments adviser.

Example: Take a two-terminal café processing £600,000 across 40,000 annual card transactions. At an illustrative rate of 1.25% plus 3p, processing alone costs £8,700 a year. Add £1,800 for software, £2,500 for hardware and £500 for setup, and the first-year total reaches £13,500 before add-ons. Change the rate by a quarter of a percentage point and the processing line moves by £1,500, which is more than the annual software fee shifts across most providers.

What an unreliable system costs in practice

Urban Leisure Group runs a collection of independent neighbourhood bars and restaurants in London. Its previous POS failed regularly and kept payments separate from the till. Failed transactions cost the group thousands, according to the team. The layout made matters worse. Staff serving the second floor could not take payment beside the table, and some guests walked out without paying.

Adding new handhelds and upgrading their POS allowed staff to take orders and payments wherever guests were sitting. According to the group, walkouts fell by 50% and support issues by 75%. Pilloux said she trained the team in a single 45-minute video call.

For Operations Manager Marianne Pilloux, fewer support issues meant more time focused on guests. The savings never appeared on the old POS invoice. They showed up in recovered bills, fewer lost sales, and manager hours returned to the floor.

Building a comparison you can defend

Ask every provider to price the same restaurant. Keep the terminals, handhelds, kitchen displays, integrations, and contract term consistent, then apply your own card volume and average transaction value to each processing rate. Include implementation, networking, data migration, and training. If you expect to grow, price a second site or another ordering channel now. Expansion costs often reveal more than the opening quote. Toast’s UK POS comparison tool gives you a consistent place to record the figures.

At the time of publication, Toast pricing starts at £80 a month for Starter and £150 a month for Essentials, with custom pricing for other configurations. The published starting price includes the first hardware-terminal subscription, while additional devices cost extra. Both plans include core POS, integrated payments, reporting, hardware configuration, installation and go-live support. Essentials also includes a kitchen display system and an all-in-one handheld. Processing rates, add-ons and other implementation requirements can change the final quote.

Evaluating the total cost

Many restaurant costs, including rent, wages and energy, offer limited room to negotiate in the short term. A POS contract gives you more scope to compare terms, question charges and model the trade-offs.

Compare the full cost over three years, not just the opening months. Apply processing rates to your actual sales volume and find out what support looks like at 8pm on a Saturday. Then estimate the operational value through fewer lost sales, faster service and more staff time with guests. Those are the gains that can justify a higher quote.

FAQ

How much does a POS system cost per month in the UK?

Monthly software fees vary widely depending on the number of terminals, the service model, and which tools are bundled into the subscription. The monthly figure is also the smallest part of most bills, so compare it alongside hardware, implementation, and processing rather than on its own.

Are there free POS systems for restaurants?

Some providers advertise a free or zero-cost tier, which usually means the software fee is waived while the cost is recovered through the processing rate or a restricted feature set. Work out what the arrangement costs across a full year at your actual card volume before treating it as free.

How much are card processing fees for UK restaurants?

Card-processing rates vary by card type, transaction channel, sales volume and pricing model. Ask each provider for a complete schedule of percentage rates, fixed charges and exceptions, then apply those figures to your own card sales and transaction count.

Do you have to buy POS hardware upfront?

Not always. Hardware can be bought outright, financed, or bundled into a package, and the structure you choose changes your first-year cost considerably even when the three-year total is similar. Confirm who owns the equipment at the end of the term and how replacement devices are handled.

How much does it cost to switch POS systems?

The software and hardware are the visible part. The costs operators underestimate are menu configuration, data migration, network work, and the staff hours spent training before go-live, so ask each provider to state in writing what their implementation covers and what is chargeable.
